  • The Company is Birkenhill Bells
  • The Hirer is the person hiring the equipment from the Company. The Hirer must be at least 18 years of age.
  • The Period of Hire means the time commencing with the arrival of the equipment on site and ends when the equipment is removed by the Company
  • The Equipment is the bell tent(s) and furnishings provided by the Company for the use of the Hirer.
  • Hire Charges is the total amount due under the invoice including delivery, assembly, installation, disassembly and collection from site

1. Booking and Cancellations

(a) Once the dates of your hire period have been confirmed by phone or email, you will be sent a booking form which should be returned to Birkenhill Bells with an initial non-refundable payment of 25% of the total cost. Only once we have receipt of this is the booking binding.

(b) Please make cheques payable to N Widdowson.

(c) The balance plus a returnable security deposit of £100 per tent is payable 28 days before your hire commencement date.

(d) Bookings received less than 28 days in advance of the hire commencement date will require payment to be sent in full with the booking form.

(e) Cancellations of less than 14 days prior to your hire commencement date will result in 100% of the hire charge being forfeited. You may wish to obtain travel insurance to cover this.

(f) The security deposit covers damage, breakages or extra cleaning that may be required. This will be returned within seven days of the end of the hire period, minus deductions if applicable, which will be fully itemised.

(g) The Hirer is responsible for any damage and loss caused to the equipment regardless of culpability, and therefore should the security deposit be insufficient to cover costs incurred to Birkenhill Bells, the Hirer must agree to pay all costs to rectify this.

(h) The Hirer must never presume that any other equipment is included in the Hire other than that stated in the Company’s booking forms and related website, specific to their booking.

2. The Site

(a) The Hire charges are based on the assumption that the site is a flat level firm ground with easy access for motor transport. The Hire charges do not include any making good or repairing of damage to the site.

(b) The Hirer is required to provide the Company with either a plan clearly showing the position in which the tent(s) are to be erected or have a representative on site to indicate desired location.

(c) The Hirer must select a site that is not wet, boggy or has poor drainage. Any flooding caused is the responsibility of the Hirer.

(d) Appropriate parking provision within 25m of site must be supplied and all parking costs (if any), must be paid for by the Hirer in advance of the Company arriving on site.

3. Tent Usage

(a) You must not use any cooking, or gas appliances of any kind, inside the tent(s).

(b) Naked flames and campfires that are used in the vicinity of the tent(s) must be a minimum of 5m away.

(c) No smoking allowed inside our tents.

(d) Dogs are not permitted in the tents.

(e) You agree that Birkenhill Bells, its Agents, Officers or Employees, accept no liability for any personal injury or damage to any persons or property suffered during the period of your usage.

4. Force Majeure

(a) You agree that Birkenhill Bells will not be held liable for any: Act of God including tempest, fire, flood, storm or natural disaster; War, civil war, sabotage or act of terrorism; Government sanction, embargo, import or export regulation or order; Labour disputes, including strikes, lockouts, boycotts or other industrial action; Failure in the transportation of equipment, machinery or personnel or in the provision of any utility including power, gas, water, or communication services.

(b) In the unfortunate event that we have to cancel your camping due to Force Majeure, including high winds that make it impossible to set the tents up or heavy rain making the ground too wet to make the tents safe we will offer you an alternative date with the same package, amount of guests and tents.

We have no control over the weather and we will always assess the situation for the safety of our customers and will always do our best to provide a suitable alternative date, however we are not obliged to offer you a refund in part or full for your stay.

5. Ownership

(a) All equipment remains at all times the property of Northern Bells of Birkenhill. The Hirer may not sub-hire or part with possession of the equipment or any part of it.

6. Erection and Dismantling

(a) The Company will arrive on site, erect and dismantle the tent(s) and their contents. The Hirer must not dismantle or move the tent(s) without prior agreement from the Company.

7. We reserve the right to amend our website and our terms and conditions at any time, without prior notice.
